Details of a Transaction

To view more information about a transaction and its taxed line items, click on the transaction row to open its details page. The details are organized into 3 sections:

1. General Information

This section provides basic transaction details, including:

  • Customer Name
  • Origin Address – Where the product was shipped from.
  • Destination Address – Where the product was shipped to.

2. Line Items

This section lists the products purchased in the transaction, along with:

  • Total Amount
  • Tax Expected
  • Actual Tax Collected
  • Tax Difference (Tax Expected - Tax Actual)

⚠️ If tax couldn’t be calculated for certain line items (due to an invalid address, or missing tax category), they will be highlighted in red, similar to how they appear on the Transactions Listing page.

A footer in this section summarizes the total Transaction Amount, Tax Expected, Tax Collected, and Tax Difference across all line items.

Ideally, the Tax Difference for all transactions should be $0.00. If the value is non-zero, it indicates either:

  • Over-collection (negative value) – You have collected more tax than required from your customer.
  • Under-collection (positive value) – You have collected less tax than required, meaning you will need to pay the difference out of pocket.

If a transaction shows a tax difference, reviewing it can help ensure that:

  • The correct tax rate was applied based on the product’s tax category.
  • The business was registered in the jurisdiction where the transaction took place.
  • Any applicable exemptions were correctly accounted for.

You can read more about tax under-collection and over-collection by following these links.

Each line item can be expanded to show additional details about it by clicking on the angular arrow towards the left of the row.

3. Related Transactions

This section displays other transactions linked to the selected transaction. For example:

  • If a refund was issued for the transaction, it will be shown here.
  • If this transaction is a refund of an earlier purchase, the original transaction will be listed.

For each related transaction, the following details are displayed:

  • Transaction ID
  • Customer Name
  • Transaction Type (Sale or Refund)
  • Transaction Date
  • Jurisdictions where tax should apply
  • Total Amount
  • Tax Expected
  • Actual Tax Collected
  • Tax Difference

Expanded Line Items

You can expand each line item to see more details about how its taxability and tax rate were determined. The expanded section contains:

Tax Calculation Details
  • Tax Category of the product
  • Origin Address and Destination Address (may differ from the general transaction addresses)
  • Date of Last Tax Calculation
  • Exemption Status – Indicates if the product is tax-exempt
  • Reporting Status – Shows whether the line item was included in a tax return, with links to the relevant return

Taxability Determination
  • Checks if your business is registered for sales tax in the transaction’s state
  • Verifies if the customer is exempt from tax in that state
  • Confirms if the product’s tax category is taxable in that jurisdiction

Tax Breakdown by Location (Displayed only if the product is taxable)

If the product is taxable, a third card shows the tax breakdown across different jurisdiction levels (state, county, city, etc.). It includes:

  • Tax Level Name (e.g., California State, Los Angeles City)
  • Tax Type
  • Tax Location (origin or destination-based)
  • Exempted and Non-Taxable Amounts
  • Taxable Amount
  • Tax Rate applied at each level
  • Expected Tax Amount
