Returns in Galvix
As the end of a jurisdiction's filing period approaches, Galvix automatically generates Returns, summarizing the sales tax collected and owed. You can access these by navigating to the Returns tab in the left menu.
The ‘Actions Required’ tab on the Returns page allows you to quickly filter and review returns that need your attention.
On this page, you’ll see a list of all Returns, including key details such as:
- Period Ending – The last date of the tax filing period that the return covers. This marks the cutoff for transactions included in the return.
- Filing Frequency – The schedule on which a business is required to file sales tax returns with a jurisdiction. This can be monthly, quarterly, annually, or on another specified basis.
- Return ID – A unique identifier assigned to each return in Galvix for tracking and reference purposes.
- Jurisdiction – The specific state where the sales tax return is being filed.
- Status – The current state of the return within the filing process. Possible statuses include:
- Ready for Review – The return is generated but not yet approved. You can review the associated transactions and make necessary adjustments before approving.
- Under Revision – The return is being recalculated due to recent updates to the related transactions. While in this status, the data may be temporarily unavailable.
- Approved – The return has been reviewed and approved by you, or it was auto-approved by the system because the approval deadline passed without manual approval.
- Filed – Galvix has successfully submitted the return to the appropriate state tax department.
- Gross Sales – The total sales revenue reported for the filing period excluding Marketplace sales and refunds.
- Taxable Sales – The portion of Gross Sales that is subject to sales tax after accounting for exemptions and non-taxable transactions.
- Amount Due – The total tax liability owed to the jurisdiction based on the taxable sales within the filing period.
- Tax Difference – The variance between the expected tax and the actual tax collected from customers. A positive value indicates under-collection, while a negative value indicates over-collection.
Returns displayed in this listing will be grouped by their period ending date. E.g. All returns that end on the period ending January 31, 2025, will be grouped under an expandable row.
