Updating 2FA Emails on State E-filing Portals

Updating the two-factor authentication (2FA) email address in your state tax portals is a crucial step of your Galvix setup. This ensures that Galvix can securely access your state accounts when filing returns on your behalf, without delays or missed deadlines.

Why is this information important?

  • Seamless Access: Most state e-filing portals require a one-time passcode (OTP) during login. By forwarding these OTPs to Galvix, we can handle filings without waiting for manual approval from your side every time.
  • On-time Filing: 2FA delays can cause missed filing deadlines. Updating your 2FA email ensures Galvix never gets stuck waiting for a code.
  • Security: Galvix provides you with a unique, secure forwarding email address (e.g., otp-demo@galvix.com) tied only to your business. This protects your login credentials while enabling automated filing. The emails received to this email address will also be sent to your email address so you continue to receive the codes.

Adding the Galvix 2FA Email to State Portals

Follow these steps in each of your state sales tax portals:

  • Log into the state e-filing portal for the jurisdiction (e.g., Arkansas ATAP, California CDTFA, etc.).
  • Navigate to the account settings or security section.
    • Look for “Two-Factor Authentication,” “Security Settings,” or “Login Verification.”
    • Add or update the 2FA email address.
    • Enter the unique Galvix 2FA email address provided to your business (e.g., otp-demo@galvix.com).
  • Save changes in the state portal.

Confirming 2FA Setup in Galvix (During Scheduled Returns)

Once you’ve updated the 2FA email in the state portal, you need to confirm it in Galvix so we can begin automated filings:

  • Go to: Settings → Returns → Scheduled Returns.

  • Open the jurisdiction you’re setting up (e.g., Arkansas).
  • Enter your state portal password to authenticate.
  • Verify your account link:
    • Check the box “I have verified my [Portal] account is linked to my [State] sales tax account.”
    • This ensures Galvix has the right credentials to access the portal.
  • Confirm 2FA email update:
    • Add the unique Galvix 2FA email (e.g., otp-demo@galvix.com in your state portal.
    • Check “I have updated/added the 2FA email address” in Galvix.
  • Save your setup:
    • Use Save and Close (to finish) or Save and Add Next (to proceed with another state).

Tip: Revisit this screen any time you update your state portal password or change the 2FA email.
