Adding Physical Presence
In Galvix, you will need to add your business’s physical locations and workforce, including employees, offices, inventory locations and warehouses. Galvix needs this information for determining your nexus status, as many states require businesses with a physical presence to register for sales tax.
Any changes you make here will instantly update your Nexus status, so keeping this information current is essential.

Why is this information important?
- Nexus: The physical presence of your business can create a nexus, a legal term that establishes a connection between your business and a state triggering tax liabilities like sales tax.
- Compliance: States require businesses with a physical presence to register, file returns, and comply with their specific regulations.
- Accurate Reporting: Providing accurate location data ensures your tax calculations and filings are correct, preventing potential penalties.
Adding Physical Presence
To add a new physical presence for your business, follow these steps:
- Navigate to Physical Presences from the left-hand menu. Click the Add Physical Presence button to start.
- A form will open. First, select the Jurisdiction (state) where you're adding the presence. Then, choose the Physical Presence Type:
- Establishment or Employee
- If you select 'Establishment':
- Select the Establishment Type (Warehouse or Office).
- Enter the Establishment Name (e.g., "Alabama Office").
- Select the Date on which it started operations.
- If you select 'Employee':
- Select the Employee Type (Contractor or Direct).
- Enter the Employee's Name.
- Select the Date on which they started.
- Choose the Employee's Department (Sales, Marketing, etc.).
- Once you've filled out the form, you have two options:
- Click Save and Add Next to add another physical presence immediately.
- Click Save and Close to finalise the process and return to the main list.
Updating a Physical Presence
If you need to update an existing physical presence, you can follow these simple steps, just like you did for adding the physical presence:
- Navigate to Physical Presences from the left menu.
- Select the physical presence you want to update from the list.
- On the details page, click the "Edit" button to open the update form.
- In the form, you can modify details such as the Name, Start Date, or Department.
- Click Save to apply your changes.
